Pioneering HR Platform Compliant with Polish Labor Law

Empliset is a platform that helps companies optimize their HR processes. It combines Polish labor law expertise with modern leadership approaches and the everyday reality of managing teams. The platform covers the full employment lifecycle – from onboarding through to offboarding. It automates key processes by integrating legal requirements with efficient information and document flow between employees, managers, HR departments, and employers. It digitalizes everything related to working time management, employee matters, and internal communication.

The platform was designed by Monika Smulewicz, CEO of HR We Go, and enables effective team management – whether you're running a small team or a large organization – while staying compliant with Polish labor law.

Problem

The client needed to quickly strengthen their internal development team with additional resources to speed up work on the new version of Empliset and implement new workforce management modules.

At the same time, the project required ensuring continuity in both development and maintenance – after the intensive implementation phase, our specialist remained involved during the maintenance stage, supporting further improvements.

Taking over the project meant getting deep into the existing infrastructure, so we built the collaboration around weekly workshops and regular client meetings. This translated into dozens of hours of analysis, testing, and recalibrating initial assumptions, which ultimately allowed us to quickly identify areas that needed a restart or further refinement.

Challenges

Our scope of work included:

dividing tasks between operational teams, verifying the current state of the project, and planning the product development roadmap,
ongoing task verification by the client to ensure compliance with labor law requirements,
creating management panels with a flexible permission system tailored to user status,
developing and implementing customized features aligned with client expectations, including:
- online schedule creation - enabling schedule building across different working time systems, which directly impacts how working hours are calculated,
- electronic document workflow (eTeczka) - allowing document import and export within the platform, archiving according to applicable law, and implementing electronic signatures,
- working time records - enabling detailed report creation and export for employer analysis, including overtime classification,
- alerts and notifications system - actively informing users about activities within the platform,
- manager and employee dashboards - with intuitive access to key metrics and functions,
- employee files - enabling archiving and current access to information about employees and their activity,
- overtime and absence settlement module - compliant with applicable labor law regulations.

Solution & Outcome

Thanks to well-planned workshops and smooth communication at every stage, the product launched on schedule. One of the key challenges was designing features compliant with labor law regulations, so we stayed in constant contact with the client, continuously verifying algorithms and eliminating errors.

All implemented solutions were based on the original concepts of the founder, Monika Smulewicz. Due to the pioneering nature of the tool, it had to be built completely from scratch – we couldn't use ready-made plugins or adapt existing market solutions.

The result? A set of features designed specifically for the Empliset platform – a system that simply has no equivalent on the Polish market in terms of comprehensive tooling. The work was concluded by implementing a new visual design in accordance with client guidelines.

Results

Through clear communication and collaboration between the BitBag team and the client, we created a modern platform that supports HR processes, with a particular focus on working time management. This is a particularly sensitive area, due to numerous legal restrictions and ambiguous interpretations of regulations.

We carried out the project in close contact with the client, who actively participated in the design and regularly received progress reports.

After the intensive development phase, the platform entered the support stage, where existing features are gradually being refined and expanded.

Throughout my professional career - starting in outsourcing - I saw what HR departments struggle with in dispersed structures and with the limitations of available tools. I dreamed of combining key functionalities that were previously scattered across different platforms into one innovative product.

I invested a large portion of profits from other parts of my business into an idea that had been maturing for a long time. I wanted to create a solution that not only organizes processes but genuinely changes the quality of work - in communication, documents, and the employee-employer relationship.

At the same time, we were working on the previous version of the system. The priority was serving existing clients. So I knew I needed additional support to speed up the work and deliver something that wasn't on the market yet. Because HR deserves tools that are effective, secure, and simply work well.
